PARENT COUNCIL GENERAL MEETING MINUTES

MONDAY 26TH MARCH 2018 6.45PM

Present - Jan Watt (treasurer), Pete Murray, Aileen Strachan, Oliver McMillan (Acting head teacher), Jennifer Dunbar, Sacha Shepherd (secretary)

Apologies -Kayleigh-Anne Walker (chair), Kirsty Thomasson, Joanne Reid, Niall Ferguson, Judith Doherty, Annie Hudson

  1. Welcome and Chairpersons Report

Jan Watt (Treasurer) opened the meeting and welcomed attendees. It was explained that this meeting of the parent council was intended to be an active discussion regarding the role and future of the parent council. At present the council is made up of:-

Chair – Kayleigh-Anne Walker

Secretary – Sacha Shepherd

Treasurer – Jan Watt


Kayleigh-Anne will be stepping down as chair person and the parent council is therefore seeking to fill the position of Chair.
Through January and February, the parent council were in discussion with Ms Watt regarding the role of the parent council. From these discussions it was agreed that the Council had become focused solely on fundraising activities. Ms Watt suggested that some re-grouping and re-defining of the council may be of benefit for the whole parent forum.

Agreeing with this, Sacha and Jan have been going through the parent council information files, looking at the constitution, gathering information from Aberdeenshire council in terms of what the parent council does and preparing some information packs for the parent forum. The purpose of the packs is to give parents information regarding the purpose of the parent council and aims and roles within. This we hope will encourage new members of the parent council to come forward. There are currently three members , however there is certainly room for vice positions or sub groups if the parent forum feel this would work best for the school. Putting together the packs has also given an opportunity to look at a proposed constitution going forward and set out the roles of teach member.

These packs were discussed at the meeting in terms of content and will be sent out with the School newsletter.

A date and time for the EGM has been set as WEDNESDAY 18TH APRIL at 7PM. We hope to see lots of parents there! We have had interest in the position of Chair, if any parents feel they would like to be members of the council or would like to discuss the information handed out in the packs in more detail please feel free to contact Sacha or Jan.

An agenda for the meeting has been prepared and is attached to the minutes and will be included in the information packs.

Parent council website

The parent council website is currently being updated to include the information packs and bring together all the parent council information - this we hope will help with transparency and communication as well as handing over between members and helping with new members coming on board. The website will be available by the EGM. This will be a starting point and we welcome input from parents as to how to get the most from this. Suggested content and things people would find interesting.

Muddy Run Update

Currently there are around 80 entrants, which will hopefully increase over the next 6 weeks. Volunteers will be required on the day to help with various duties. Aileen will sent out a sheet with list shortly.
